  • Each participant may be listed as a co-author on a maximum of four abstracts, but may present only two of them. For poster presentations, authors may be listed on up to four posters but may present only three.
  • Authors are required to disclose any personal or shared potential conflicts of interest at the time of submission.
  • Approval from all co-authors must be obtained prior to submission.
  • The name of the presenting author must be underlined during submission. Any subsequent changes must be communicated to the Congress Secretariat via email prior to the congress.
  • If the presenting author has not completed the congress registration, the abstract will automatically be removed from the scientific program, and the submitter will not be permitted to present the work.
  • Submission of an abstract implies that the author(s) confirm the work has not been previously published (in print or electronic form) nor presented at another scientific meeting.
  • Participants who notify the Organizing Committee via email of their inability to attend the congress by September 30, 2025, 11:59 p.m. will be refunded 50% of the registration fee. No refunds will be issued for cancellations made on or after October 1, 2025.

 

Oral Presentation Guidelines

  • Abstracts to be presented at the congress must be relevant to the main themes of the congress and should contribute to scientific advancement.
  • Abstracts must be prepared using the official abstract template, strictly adhering to the formatting and writing rules specified therein.
  • An oral abstract must include the following sections: Title, Objective, Method, Findings, and Conclusion. Abstracts of review papers should be structured to fully reflect the content, covering Introduction, Development, and Conclusion.
  • Both Turkish and English abstracts must be submitted, each with a minimum of 300 words and a maximum of 500 words. The text must be written in Times New Roman, 10-point font. Abstracts not conforming to the required format and guidelines will not be evaluated.
  • Each abstract must include a minimum of 3 and a maximum of 5 keywords.
  • Only standard abbreviations should be used. The full form of the term should be given the first time it appears, followed by the abbreviation in parentheses, which should then be used consistently throughout the text.
  • Turkish and English abstracts will be evaluated through a double-blind peer review process. Each submission will be reviewed by two referees. If both referees reject the abstract, it will not be accepted. In cases where one referee accepts and the other rejects, the abstract will be forwarded to a third referee, whose decision will be final.
  • Based on the referee evaluations, abstracts will be classified as oral or poster presentations (except for voluntary poster submissions). Authors will be notified of the acceptance status upon completion of the review process.
  • Abstracts must be submitted in both Turkish and English.
  • Presenters may deliver their oral presentations in either Turkish or English, depending on their preference.
  • At the time of submission, authors must indicate their preferred presentation type (oral or poster).
  • Each oral presentation is allocated 10 minutes: 8 minutes for the presentation and 2 minutes for discussion (Q&A).
  • Abstracts that are not presented will be removed from the abstract/full-text proceedings book.
  • Congress sessions will be organized by thematic similarity. Therefore, it is essential that authors select the most appropriate category for their work during submission in order to ensure a well-structured scientific program.

 

Poster Presentation Guidelines

  • Studies accepted as poster presentations by the Congress Scientific Review Board should be prepared in poster format (50 cm × 70 cm) for presentation during the congress.
  • Posters must include the following sections: Introduction, Materials and Methods, Results, and Conclusion.
  • Abstracts submitted for poster presentations must be prepared in either Turkish or English (only one language should be selected), using the official poster abstract template and adhering to the writing rules specified therein.
  • Posters may be prepared in Turkish or English. The text should not exceed 400 words.
  • Posters not presented will be excluded from the abstract book. Poster presentations will be included in the Congress Abstract Book.

 

Full-Text Paper Guidelines

  • Full-text papers must be prepared in accordance with the APA 6th Edition guidelines.
  • Papers must be between 4,000 and 6,000 words (excluding references, including both Turkish and English abstracts). The text should be written in Times New Roman, 12-point font. Full-texts that do not comply with the required format will not be considered for review.
  • Research articles should include the following in their abstracts: Objective, Materials and Methods, Results, Conclusion, and Keywords.
  • Systematic reviews should include: Introduction, Method, Results, Discussion, Conclusion, and Keywords.
  • Review articles should comprehensively reflect the content, structured as: Introduction, Objective, Development, and Conclusion.
  • Case reports should briefly describe the case and be structured as: Introduction, Case Presentation, Discussion, and Conclusion.
  • If there are any modifications to the abstracts previously submitted to the congress, the revised version must also be sent via email.
  • Full-text submissions, whether in Turkish or English, will be evaluated through a double-blind peer review process. Each paper will be reviewed by two referees. If both referees reject the paper, it will not be accepted. If one accepts and one rejects, the paper will be referred to a third referee, whose decision will be final.
  • Based on referee reports, the editorial decision may include acceptance, rejection, or requests for revisions, additional information, or shortening of the text. The decision will be communicated to the corresponding author via email. Authors must resubmit the revised paper through the “Full-Text Submission” section.
  • Accepted and presented papers may be uploaded in full-text format within the specified deadline, using the full-text template, in Word format, via the congress website (https://18shik.medipol.edu.tr/) under the “For Presenters” section.
  • Submitted full-texts will be checked using plagiarism detection software (www.turnitin.com), and the similarity report must be uploaded along with the submission. The similarity index must be below 20%.
  • If the study has been supported by any institution or derived from a thesis, this must be clearly indicated in the full-text.
  • Authors are responsible for the accuracy of all references cited in the manuscript.
  • Submission of a full-text paper implies that the author(s) accept the peer review conditions and process.

 

Author Agreement

By submitting an abstract or full-text paper, all authors confirm that they accept the following conditions:

  1. Any study involving human or animal subjects, as declared in the abstract, complies with the ethical principles of the Declaration of Helsinki by the World Medical Association, and has been approved by the relevant institutional review board, ethics committee, or equivalent authority.
  2. The work has not been previously published (in print or electronic form) and has not been presented elsewhere.
  3. If the presenting author’s congress registration is not finalized, the abstract will be automatically removed from the scientific program, and the author will not be permitted to present.
  4. Authors declare that there are no personal or shared potential conflicts of interest regarding the submitted work.
  5. Authors accept that their abstracts or full-text papers will be published in the congress proceedings book, and that they bear full responsibility for the accuracy and content of their submissions.
